Last updated: 1 October 2026

Application: HR Software (package com.avadat.hrsoftware)

This Privacy Policy explains how Nuvate Technology Pvt Ltd (“we”, “us”, or “our”) collects, uses, stores, and protects your information when you use the HR Software mobile application (the “App”). The App is a human-resources and attendance tool provided to employees of organisations that subscribe to our service (your “Employer”). By installing or using the App, you agree to the practices described in this policy.

1Who we are

The App is published by Nuvate Technology Pvt Ltd, located at B-901, Empire Business Hub, Science City Road, Sola, Ahmedabad - 380060, Gujarat, India. We act as a technology provider on behalf of your Employer. Your Employer decides which employees may use the App and is the primary controller of the HR data processed through it; we process that data to deliver the App’s features.

2Information we collect

We collect only the information needed to operate the App’s HR and attendance features:

Examples

Name, employee number, email address, mobile number, designation, department, date of joining, profile photo.

Why we collect it

To authenticate you and personalise your account.

Location

Examples

Why we collect it

To record where an attendance punch was made, as required by your Employer.

Camera & photos

Examples

Selfie photo taken during attendance punch; photos you capture or upload for gate-pass and Rokdi (register) entries.

Why we collect it

To verify identity/attendance and attach evidence to HR records.

HR records

Examples

Attendance history, leave requests, gate passes, cash vouchers, salary/payslip and advance information.

Why we collect it

To provide employee self-service functions.

Device & technical

Examples

Device name/model, app version, push-notification (FCM) token, login timestamps, IP address.

Why we collect it

To keep you signed in, deliver notifications, and secure the service.

We do not track your location in the background. Location is read only at the instant you submit an attendance punch, and the camera is used only when you actively take a photo in the App.

3Device permissions

The App requests the following Android permissions, each tied to a specific feature:

  • Camera — to take the attendance selfie and gate-pass / Rokdi photos.
  • Location (precise/approximate) — to stamp the location of an attendance punch.
  • Photos / Media / Storage — to let you choose or upload an image and to cache files.
  • Notifications — to send approval updates and HR announcements.
  • Internet / Network state — to communicate with our servers.

You can revoke any permission at any time in your device Settings; some features may stop working without the related permission.

4How we use your information

  • Authenticate your login and maintain your session.
  • Record and display attendance, leave, gate passes, Rokdi entries, cash vouchers and payroll.
  • Verify attendance using the captured location and selfie.
  • Send you push notifications for approvals, status changes and announcements.
  • Maintain security, prevent fraud/misuse, and troubleshoot problems.
  • Comply with legal, tax and statutory obligations applicable to your Employer.

We do not sell your personal information, and we do not use it for third-party advertising.

5How we share information

We share information only as needed to run the service:

  • Your Employer — authorised HR/admin staff can view your HR records, attendance, location and photos submitted through the App.
  • Service providers — vendors who host our infrastructure and deliver push notifications (see Third-party services), bound by confidentiality obligations.
  • Legal / safety — where required by law, regulation, legal process, or to protect rights, safety and security.

6Third-party services

The App relies on the following third-party service:

  • Google Firebase Cloud Messaging (FCM) — used to deliver push notifications. Its handling of data is governed by Google’s Privacy Policy: https://policies.google.com/privacy.

7Data retention

We retain your information for as long as your account is active and as long as your Employer requires it to meet HR, payroll, and statutory record-keeping obligations. When data is no longer needed, it is deleted or anonymised. Requests to delete specific data are handled together with your Employer, subject to laws that may require us to retain certain records.

8Data security

We use reasonable technical and organisational measures to protect your information, including encrypted connections (HTTPS/TLS), access controls, and authentication tokens. No method of transmission or storage is completely secure, but we work to protect your data and review our safeguards regularly.

9Your rights

Depending on your location, you may have the right to:

  • Access the personal information we hold about you.
  • Request correction of inaccurate information.
  • Request deletion of your information (subject to legal/Employer retention needs).
  • Withdraw permissions via your device settings.

To exercise these rights, contact your Employer’s HR department or us using the details below.

10Children’s privacy

The App is intended for use by employees and is not directed to children under the age of 16. We do not knowingly collect personal information from children.

11Changes to this policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top reflects the latest revision. Material changes will be communicated through the App or by your Employer. Continued use of the App after an update means you accept the revised policy.
